From how to request your award documents and share your achievements to verifying your award

Depending on when you studied one of the awards listed in the , you'll have access to the following documents:

  • Award Certificate
  • Letter of verification
  • End of course transcript* (only available for students who graduated from 1 September 1999 onwards)
  • Diploma supplement* (only available for students who graduated from 1 September 2006 onwards)

* Not available for MPhil, PhD and Professional Doctorate students

You'll be able to access your award documents shortly after your award is confirmed. You'll have your certificate and end-of-course transcript posted to the home address held on your student record. Delivery can take up to two weeks within the UK and 6-8 weeks for international addresses. However, from the start of June we will no longer be automatically printing award documents, but you'll be able to access your award documents as digital documents through the University's new secure .

In some cases, these documents may need to be verified, evaluated, or replaced. Find your cohort below to discover how we can support you with this.


3 March 2025 – present day graduates

You’ll be able to access your award documents as digital documents through the University’s new secure . You will receive an email from awards@port.ac.uk when your documents have been published inviting you to register on the portal. Please don’t register before you receive your email. 

From the start of June, we will no longer be automatically printing award documents but you can order them free of charge (postal charges apply) via the portal.
 

The portal will allow you to view digital versions of your award documents. You will also be able to share your e-documents with third parties through the connections feature to verify your awards. Third parties will be charged a connection fee. You will be able to access the following documents through the portal:

  • e-Certificate
  • e-Transcript
  • e-Letter of Verification
  • e-Diploma Supplement

Your e-documents can be verified via a QR code visible on the e-document.

You can access your digital documents for free once they have been published. You can share these with a third party, and the third party will be charged a connection fee.

If you wish to have a printed copy of your documents, you can request these through the for free (postage charges apply).

If you lose your original documents you can purchase replacement hard copy documents, you’ll need to order these through our Awards and Verification portal for a fee.
 

You will need the following:

  • First name. As registered during your time of study.
  • Surname. As registered during your time of study.
  • Your Student ID Number in full without the UP at the front (this can be found on official university correspondence, on your transcript, and HEAR). 
  • Date of Birth.

If you cannot provide all this information, this will delay access to the system, as we’ll need to check and approve your registration. Enter the details that you recall, and we'll be notified to run a check on the data. We may have to contact you for further information to ensure that we are granting access to the correct person.

We recommend you use a personal email address that you are likely to keep for a long period of time. You will need access to the email address if you forget your password and need to reset it. 

Please do not use your university email address, as this will be closed after course completion.

Please check your email's spam or junk folders, as your email provider may have redirected the message if it did not recognise the sender as safe. If you do not find the confirmation email in those folders, please contact awards@port.ac.uk. Be sure to include your name, date of birth, and student ID number (if known) in your message.

During the registration process, your information is compared with the data the University has on file for you. If any part of the information does not match, your account registration will need to be reviewed and approved by the University. This review process could take up to 10-15 working days, especially during busy periods. Once your account is approved, you'll be able to log in using your email address and the password you created.

If you are still unable to access your account 15 working days after registering, please contact awards@port.ac.uk. Be sure to provide your name, date of birth, and student ID number (if known) in your message.

Currently, the university uses a hyphen in our student records system in place of a name, but to make everything work properly, we need at least one character in the name fields for the record to work and to track your academic progress and results. To complete your registration for the portal, please enter a full stop ‘.’ in the blank name field. This will let you complete your registration.

While you can’t download or print your e-certificate, you can easily view it anytime through the СÀ¶ÊÓÆµ and share it with a third party.

If you print the screen version, please keep in mind that it won't be verified and would not pass the verification process. To ensure you have a valid copy, you can use the QR code. This will help you confirm the authenticity of your e-copy and any printed versions issued by the University. The QR code will match the details on the certificate to the details in our records system.

Yes – you can create a Connection with third parties (employers, universities etc) giving permission for them to log in and view your qualification to verify its authenticity. See Connections on the dashboard to start. You choose which items to share. You will be asked how long you wish to allow access for. We recommend setting up a connection for a month or less. After this date, third parties will no longer be able to access your information.

The third party will be charged a connection fee to view one or all of your documents.  You will be able to remove the connection at any time.

There are several ways to verify the authenticity of your qualifications to a genuine third party:

  • Letter of Verification: This includes details like your qualification, registration period, mode of study, delivery location, and language of assessment.
    • Cost: Digital copies are free; printed copies cost £12 plus postage.
  • SmartVerify+ QR Code: You can scan the SmartVerify+ QR code on your award documents with a mobile device to confirm their authenticity.
  • Third party connection: Allow third parties to log in and view your qualifications for verification via the Awards and Verification Portal. For more information on how to do this, read the above question "Can I give employers/others access to verify my award on the Awards and Verification Portal?".

We aim to process orders for printed letters of verification within 10-15 working days. Just keep in mind that during peak times (July and November), processing may take longer.

We accept Visa, Visa Debit, Mastercard and American Express payments.

Refunds will only normally be given if an order has not been processed, please email awards@port.ac.uk as soon as possible with your full name, student ID and order number (found in your confirmation email) and the reason you are requesting a refund.

Please make sure the subject of your email is: URGENT Refund required.

Module descriptors provide comprehensive details about the modules you completed during your course. They include:

  • Learning outcomes: What you should be able to achieve by the end of the module.
  • Assessment methods: How your performance will be evaluated.

Employers or other educational institutions may occasionally request additional information regarding your studies, which can be provided through these module descriptors.

For module descriptors from 2020 onwards, please refer to the (available free of charge).


1 September 1992 to 2 March 2025 graduates

To request replacement award documents, including certificates and transcripts, please use the online store.

We're unable to provide replacement transcripts for graduates who completed their studies between 1992 and 1999 as the University did not retain module marks before this date. 

We aim to process your request in 10-15 working days. However, at peak times between July and November, this may take longer.

There are several ways to verify the authenticity of your qualifications to a third party:

  • Letter of Verification: This includes details like your qualification, registration period, mode of study, delivery location, and language of assessment.
  • Cost: Digital copies are free; printed copies cost £12 plus postage.

  • Certified copies: You’ll need to provide original documents or purchase replacements. We’ll stamp and sign copies to confirm their authenticity, sending them as a locked PDF.
  • Cost: £10 per document.

We aim to process requests within 10-15 working days. Just keep in mind that during peak times (July and November), processing may take longer.

This service is available exclusively for alumni who graduated before 2020.

Module descriptors provide comprehensive details about the modules you completed during your course. They include:

  • Learning outcomes: What you should be able to achieve by the end of the module.
  • Assessment methods: How your performance will be evaluated.

Employers or other educational institutions may occasionally request additional information regarding your studies, which can be provided through these module descriptors.

You can request a descriptor for a single module or all modules completed in your course.

  • Cost: A flat fee of £15 applies, regardless of the number of descriptors requested. This fee is inclusive of VAT.
  • Delivery: Descriptors are provided electronically and sent via email as PDF documents.

Initially, only graduates from 3 March 2025 will be able to access the portal.

1969 – 31 August 1992 graduates

To request a replacement award document, in the format of a proforma certificate, please use the Open University Validation Service. We’re unable to provide replacement certificates or transcripts for students who studied during this time.

The Open University Validation Service can provide you with a proforma certificate to verify your qualification.

Pre 1969 graduates

To request replacement award documents, please email awards@port.ac.uk and we will look into whether we are able to assist you.

We're unable to provide replacement transcripts for graduates who completed their studies before 1969, but we may be able to provide replacement certificates.

Please note that it can take up to 6 weeks for us to confirm whether we hold your data, depending on whether we have to recall paper files back from our offsite archive. If we are able to assist we will send you a link to pay for a replacement certificate. 

Cost: £40 certificate 

You can verify the authenticity of your qualifications to a genuine third party via email:

Third party verification requests

If you're a third party requesting verification for a СÀ¶ÊÓÆµ award, this is managed by Prospects Hedd online verification service. There is a small charge per enquiry. 

Prospects Hedd is managed by Jisc and has been providing a secure verification service for employers, screening agencies, embassies, councils and other institutions for over nine years. Verification requests through Prospects Hedd can be made to over 125 UK Higher Education Institutions.

How to register

To enquire, you need to register with .

Select ‘СÀ¶ÊÓÆµâ€™ from the list of UK higher education institutions and choose the option to 'verify a degree award'. 

You'll also be required to upload a hand-signed consent form. Please ensure you adhere to the  before submitting your request, as this will result in a delay to your request being actioned. Our consent form template can be found here.

Submitting an enquiry

You’ll need the individual’s name, date of birth, course, qualification, year of graduation and degree result. Dates of attendance will be given alongside the verification response.

To ensure your verification is submitted correctly and to receive a quick response, we recommend you input the data as per the degree certificate or ask the individual to give you their data as they believe it's recorded in the student records system or at the time of study. The enquiry will then come to us for verification, with a 15-working-day turnaround time.

If you're applying for a course of further study or employment in the United States of America or Canada, you'll probably need to provide a credential evaluation report. This is a report that verifies what your UK award equates to in the USA or Canada.

World Education Services (WES) offers a credential evaluation service.

Once you have the required documents, [lease place your order through our , along with your WES reference number. Once we receive your documents we'll check your award and stamp and certify the copy before we upload it to the secure WES portal.

We aim to process your request in 10-15 working days; however at peak times (July and November) this may take longer. This service costs £10 per document.

If you're an overseas student or a graduate wanting to live or work abroad, you may need an Apostille certificate in addition to your parchment. Details on how to do this can be found on the Foreign and Commonwealth Office website. You'll need to appoint a solicitor to legalise the documents on your behalf.


General award FAQs

Your award documents will be printed with your full name as shown on your Student View. As these are legal documents, we're unable to print them with preferred names. You'll receive an email approximately a month before you're due to finish your course showing you what will be printed on your documents. If this is incorrect, you'll need to send a copy of your passport to myport@port.ac.uk.

Certificates like your Birth Certificate and school records are typically not updated with new names if they were correct when issued. If you need to present certificates with a different name, show your Birth Certificate or other proof of your previous name. For spelling or administrative errors in e-documents, report them through the Awards and Verification portal by selecting the appropriate issue. If a name change is due to gender reassignment, the University will reissue a degree certificate with the new name free of charge upon proof.

The best way to prevent document fraud is to share your e-documents via the secure СÀ¶ÊÓÆµ Awards and Verification Portal. This provides third parties with a secure method to check your qualifications for a small fee. 

In addition, we print your documents on specialist paper.

You're permitted to have one copy of your award documents in your possession at any one time; multiple copies cannot be requested. Once a new copy of your award documents are printed, previous copies are rendered invalid.

Upon completing your degree, you'll receive official documents confirming your achievement and classification. These documents consist of an award certificate, often referred to as a parchment, and, if applicable, a transcript detailing the modules you completed, along with your marks and credit levels.

The award certificate is a colorful document displaying your name, degree title, classification, and date of the award, with classifications such as first, upper second, lower second, and third for Bachelor's degrees, and merit or distinction for Postgraduate courses. Printed on watermarked parchment paper featuring the University crest, the certificate is signed by the Vice-Chancellor and Academic Registrar, while the transcript provides a comprehensive list of your completed modules and their respective marks and credit levels.

Delivery can take up to two weeks within the UK and 6-8 weeks for international addresses. If they haven’t arrived by then, please email awards@port.ac.uk with your student number, and we'll look into it for you.

If more than six months have passed since your documents were sent, and you haven't contacted us, or if you didn't update your address and they got lost, you'll need to pay for a replacement set.
